Spaces Available for Party Rentals

Palmetto Bay Park is available for special events and meetings. This state-of-the-art 25-acre park features vast green areas, a 20,000+ Boundless Playground, a perimeter walking path, basketball courts, softball fields, and a skate park.

Available rental spaces include: an enclosed, air conditioned recreation room and two picnic pavilions.

* Events may be scheduled anytime between 10am and 6pm. See Reservation Fees and Guidelines for rental fee information.

Guidelines
  • All reservations are on a first pay/first serve basis
  • Rental restriction: one rental per person/entity per month
  • Reservations can only be made quarterly (up to three month’s in advance).
  • The cancellation fee is: $25.00 if cancelled one month before the reserved date, $50.00 if cancelled less than one month before the reserved date.
  • Violation of rental policies shall result in a one year ban or prohibition on use of park rental facilities.
  • Electrical outlets are available at the gazebo location.

IMPORTANT: If you are planning to use a bounce house or have food served by a vendor, please have the vendor register with the Village. See Vendor Registration Requirements for further information.

Methods of Payment Accepted

The Parks and Recreation Department accepts the following methods of payment:

  • Personal Checks
  • Money Orders
  • *Visa
  • *Mastercard
  • *American Express

*If you prefer to pay for facility rental fees by credit card please be advised that there will be a $3.00 convenience fee charged for this service.

Credit card payments do not need to be made in person. If you wish to make a payment using any of the three cards listed above, you may print out and complete the Credit Card Authorization Form and fax it to 305-259-1291.

Making a Reservation

1. Call 305-259-1237 or send an email to confirm availability

2. Print-out and complete the Park Rental User Agreement and bring the original with you to Village Hall or mail it with your payment check to:

3. Confirm that your vendor is registered with the Village (see Vendor Registration Requirements.)

4. Review the Parks Rules and Regulations for information concerning general park rules.

Please note that reservations are not confirmed until payment has been received. Please read the "Methods of Payment Accepted" section below for payment information.

PERMIT RULES AND REGULATIONS

  • Reservations may be made for any period that the facility is available but not more than three months in advance.
  • No refunds will be made unless notice is received at least two weeks in advance. All cancellations will be subject to a service fee.
  • The sale of any merchandise and/or services is expressly forbidden. Where tickets are used to obtain meals, beverages or services, the sale of same cannot be made in the park.
  • The use of alcoholic beverages and gambling, in any form, is prohibited.
  • Animals are prohibited in the park, including dogs in leashes.
  • Music, in any form, must comply with park rules and regulations. DJs are not permitted.
  • Parking shall be confined to the area designated by the Park Manager.
  • The participant shall observe, obey and comply with all applicable city, county, state and federal laws, rules and regulations. The nforcement of these rules and regulations is under direct supervision of park management. The participants shall exercise the privileges of this permit subject to supervision of the Park Manager.
  • Permittee assumes all risk in use of the site and shall be solely responsible and answerable for damages for all accidents and injury to person or property and hereby covenants and agrees to indemnify and keep harmless the Village and their officers and employees from any and all claims, suits, losses, damage or injury to person or property. Insurance requirements will be at the Park Manager’s discretion.
  • The Community Services Director or her designated representative may cancel or revoke the permit with or without cause; waive the requirements of the rules and regulations; or, in the public interest, make additional conditions regarding the use of Village buildings and grounds.
  • When vacated, the facility shall be returned in the same condition as received. The security deposit will be forfeited for any damage, vandalism, missing equipment, failure to clean up after use, or failure to comply with rules and regulations

Vendor Registration Requirements

The Village requires all vendors who will provide services at any of its facilities to be registered in advance. Registration requirements are provided below:

  1. *Original Certificate of Insurance naming the Village of Palmetto Bay as an additional insurer for $1 million dollars.
  2. Copy of Occupational License.

*Please make sure your business phone number is indicated somewhere as the Certificate of Insurance does not list this information.
